Event Planning Does Not Have To Be A Nightmare

For all but the most exceptional people event planning is a nightmare. In the past it is a job that bosses have handed off to secretaries and administrative assistants to take care of in their “spare time.” He will say to her (it was usually a her) “The company is entertaining five hundred clients.”

He would tell her to rent a venue. And call a caterer and plan some entertainment. The entertainment doesn’t have to be anything spectacular, he would say.

But then maybe the boss will change his mind and say it should be a little spectacular. But it shouldn’t be really expensive. But it is an important event and we want it to be memorable.

Maybe you could get that famous magician who makes things disappear. It could symbolize how our company makes our clients’s problems disappear. But tell him if he makes any employees disappear to bring them back before Monday.

Then he might tell her to arrange for some pyrotechnics. Nothing is more impressive than a fireworks display, he will say. But before you sign anything make a few calls to the venue and the fire department and the insurance carrier.

As soon as she starts making calls she discovers she can get the Flying Beluga Brothers but only on a date that none of that bands they work with are available. The guy with the giraffes has a sore throat and the lady with the marvelous trained elephants has a sinus infection.

The Dancing Electric Eels are available but at a price that would bankrupt a major city. The Motorcycles of Flaming Death could be available if you pay to get their motorcycle out of storage and provide gasoline for their Flaming Geodesic Dome of Death. And you will need to provide childcare and someone to take care of the kangaroo.

Anyone who has never planned an event is not likely to be aware of the hours of calling and Emailing and letter writing and negotiating involved. Just finding a date that key people can agree to is worth a few dozen gray hairs.

Once you know the date of the event you have to contact the people who can do all the things you need done. And then you will probably have to provide them with things they will need to do what they do.They may bring their own flaming torches to juggle but you may need to make sure they have an adequate sprinkler system and a fireproof floor.

Finally the unfortunate person who is stuck with planning this wing-ding declares that she would have be be a magician to pull all these ingredients together in the time allotted. If this story is going to have a happy ending, before he loses yet another administrative assistant a smart boss will listen to her suggestion and agree to hire an expert. Surely, she will tell him, there are people who do this all the time and have the resources you need at their finger tips.

So if he is a really smart boss, and he didn’t get to where he is by squandering time and talent on inappropriate assignments, he will tell her to make the call. But, he will add, make sure you find out exactly what you are getting and what you are paying. The only surprises should take place onstage.
