Shredder Operator Error

It’s easy to blame a machine when something goes wrong, but what about when it is a human error and not a machine error?

We all know how important it is to make paper shredding a routine and some of us actually abide by it. But what do you do when you leave out one vital step, especially if you are a small business? What happens when you shred your documents prematurely? Sometimes it is as easy as calling a bank or business to get the papers sent you again; but some statements aren’t so easy to replace and may be impossible. So what can you do to provide a safety net?

Sometimes, I want to shred a document that is a few years old, but the paranoid in me wants to keep a hold of it, just in case. I will compromise and scan it in to create digital copy. Digital copies are great because you can organize them in directories or in some programs even tag them to find then easily. Plus digital copies do not take up much room. So before you even put your documents in your crosscut paper shredder think should I scan it in? What could it hurt?

How should your organize your digital files? You can organize your files even without software by making use of the operating system file folders. First create a company folder, and then in the file folder make a folder for billing, statements, references, communications, and client work. You may also want to factor in archiving your documents by year.
