Raves take place all over the world, bringing together people from all walks of 
life for a night (or several) of dancing to high-energy music. They’re a big
undertaking, but a rave that is executed correctly will give you not only a night
or two of fun, it’ll build a returning group of party-goers and strong
professional relationships. The keys are to build a team that you trust
completely, be creative and resourceful when problems arise and always make sure

Party Preparation
1 Produce a game plan for the rave. It can include a theme, a tentative list of 
DJs or musicians, a idea of the art direction and the approximate schedule and
budget.
2 Choose a core team who will be on board throughout the planning and execution
of the rave. Compile another team of suppliers and tradespeople with whom you
will work on specific parts of the rave, such as construction of a stage.

3 Compose a budget and a strategy for sticking to it.
4 Secure a venue and consult the venue manager about its general policies and 
method of operation. You may need to sign a contract.
5 Choose a date for the rave. Avoid major holidays when your attendees may be out 
of town or otherwise busy.
6 Book the DJs. For the big DJs, you will usually need to call their managers. 
Prepare contracts that will lock the DJs in to play the show.
7 Consult an insurance broker that specializes in entertainment events. Buy the 
necessary insurance.
8 Secure sponsors. Ask them to provide things such as drinks, toys, apparel and 
snacks. In return, you can offer placement for them on your promotional material
or a space at the rave to set up their own promotions.
9 Consult party promoters, who get paid to bring in a crowd. They have all of the 
contacts and methods you need to attract everyone to your party. Have them also
write a list of VIP guests who can make an appearance.
10 Design your promotional materials. This might include posters, fliers, or a 
website; get creative with your tactics. Hire professional promoters.
11 Ensure that you have all of the staff needed for the rave. If the venue does 
not provide bartenders, a sound crew, a coat check team or clean up crew, you
will have to hire and organize these employees.
12 Hire security personnel. Consult the venue manager first; the venue may 
provide its own security or have a trusted team that knows the venue’s layout and
policies.
Setup and Execution
1 Visit the venue before any setup and delivery takes place. Walk through all of 
the setup operations.
2 Hand out a delivery and setup schedule to your core team. This should state in 
chronological order the expected course of events and say who will be in charge
of meeting delivery people and supervising crew members.
3 Be on hand to oversee the entire setup.
4 Meet and greet the DJs, especially if they are from out of town. Make sure that 
they are comfortable in their accommodations. Organize a sound check for them.
5 Brief your core staff, guards, bartenders, sound crew and stage crew in 
advance. Make sure everyone knows the schedule of events. Address any questions
that may have come up during the setup.
6 Greet your VIP guests, making sure they get the drink tickets, seating and 
special passes that they need. Assign a staff member to take care of their
special requests.
